Assistant To Global Head Of Cisro Operations

 

The Role Responsibilities


  • Providing critical support and administration to 3 Managing Directors
  • Calendar and diary management
  • Coordination with other senior Executive Assistants to diarise key meetings
  • Travel arrangements - flight & hotel bookings, visas, travel itineraries etc.
  • Prepare correspondences, organise meetings (both internal and externally)
  • Booking of meeting rooms, preparation and ensuring availability of materials for key meetings
  • Coordinate conference room bookings and catering arrangements for meetings
  • Checking and approving requests (e.g. purchase orders, travel and expenses)
  • Prepare and submit expense claims through the Bank's online system in line with the Bank's T&E Policy
  • Participate in meetings and take minutes and record actions for distribution to meeting participants, as required
  • Arranging team engagement events
  • Act as holiday cover for Group CISRO Executive Assistant as required

Our Ideal Candidate

  • At least 2 years of experience in a similar role, supporting a team of senior people working with global time zones and customers
  • Reliable, self-motivated, intuitive, and proactive
  • Possess a positive, flexible and collegiate approach with the ability to contribute to the team
  • Ability to build effective relationships at all levels, demonstrating confidence in dealing with senior staff across the Group
  • Proactive and strong administrator and organiser, with excellent attention to detail
  • Able to flex approach to meet the different approaches to each Manager's requirements and preferences
  • Excellent verbal and written communication and people skills
  • Ability to prioritise workload and manage deadlines. Adaptable to last minute and developing events whilst still maintaining composure
  • Able to exercise good judgment in handling various issues on priority basis, and meet tight deadlines
  • Logical, organised, reactive, detail orientated and able to concurrently address multiple priorities
  • High integrity and ability to deal with confidential information
  • Good Microsoft Outlook, PowerPoint, Word & Excel skills
  • English (fluent) and Maths at GCSE (or equivalent) Key Stakeholders
