Assistant - Global Pictures

We have an exciting opportunity for an Assistant – Global Pictures Desk to join Thomson Reuters in Gdansk, supporting our Global Pictures Team. In this role you will provide administrative support for a growing international team of pictures editors who are handling news images from around the world.

About the role

As Assistant – Global Pictures Desk your key responsibilities will include:
  • Creating and managing staff rosters for pictures global team
  • Preparing monthly and quarterly calculations of the working hours in accordance with the Polish Labor Code regulations
  • Tracking annual leave and sickness requests, filing overtime reports
  • Keeping up to date records of the network of stringers and contractors
  • Compiling diaries
  • Assisting members of staff with accreditation and travel arrangements
  • Conducting research, providing logistic support for upcoming news events
  • Complex administrative duties within a function or functions
  • Administrative support for departmental projects
  • Conducting research and analysis, preparing confidential reports and presenting results
  • Maintaining files and records
  • Compliance with general office, departmental and company policies and procedures
  • Managing departmental invoice and purchasing processes
  • Managing mailing lists and departmental distributions
  • Data input and website administration

About You

To be successful in this role, you will need to meet the following requirements:
  • Experience of making a schedule (knowledge of labor law would be an asset)
  • Excellent knowledge of Microsoft Office, Microsoft Excel, Microsoft Teams and Outlook
  • Working knowledge of office equipment including PCs, scanners, photocopiers, multi-line telephones
  • Fluent English and Polish. Knowledge of other languages, especially central or eastern European would be a strong advantage
  • Ability to work under pressure, meet deadlines, thrive in a fast paced, diverse and demanding environment
  • Ability to prioritize and multi-task
  • Strong attention to detail, time management skills
  • Interest in news and current affairs would be a strong advantage and could open opportunities for further advancement
